GDPR

HALO is required to comply with the European General Data Protection Regulation from 25th May 2018. This regulation is expected to remain in force in British law following brexit.

It requires us to make anyone about whom we keep any information to be made aware of the data we store and allow people to view and amend those data. We are also required to make members aware of data we share with third parties.

Most of the data we hold is required for the operation and safety of orienteering events.

The HALO Membership Database

Membership details comprise name, sex and year of birth (but not the date) address, email and phone numbers. This data is needed for operational and safety reasons when running an event. Emails may also be used for important club announcements.

This information is initially received from British Orienteering upon joining and renewal and may be supplemented with additional phone numbers, etc.

This database is held on the HALO web server in an encrypted form and only accessible using secure access means such as HTTPS to authorised people. Logged in members may see the list of members' names (excluding juniors), the HALO committee has access to view all details, the membership secretary and web manager have authorisation to amend all details and individual members may log in and view and amend their own data.

Data will be retained during a member's continued membership and up to two years after membership has terminated. Data will not be shared with third parties except as described below regarding the results of events.

Use of the Car Share facility may share address details with other members using Car Share if "Get my details" is clicked.

Members may log in from the home page of the web site. Here is also where details on recovering log in details may be found.

The HALO Newsletter and HALO members' maillist

Upon joining HALO, a member's email address is subscribed to the HALO newsletter and the members' maillist for the purpose of communicating with members. Members may opt out of either of these communication channels.

The SportIdent Archive

This is a database of dibber numbers and their registered owners, provided by SportIdent. It contains the name, sex, year or birth, orieneteering club and BO number as appropriate. HALO keeps an up-to-date copy of this on the laptops used for running events as part of the management of events.

Results

HALO publishes results of events on the HALO website as well as HALO league tables Also in some cases data is provided to other services such as BO and various non-HALO Leagues. The individual data is limited to name, age class and club.

HALO web site cookies

Cookies are used to enable the functioning of the web site as you move from page to page and to retain a logon token and your name if you are logged on. These cookies are temporary and are deleted when the web browser is closed.

They are also used to persist logons between sessions if you have elected to stay logged on. These cookies will be retained even when the browser is closed.
